Keep Construction Records Current in the Field

Daily reports, progress photographs, meeting minutes, requests for information, submittals, and field reports create the project’s construction history. Photographs are especially useful when organized well. Record the date, location, work area, and condition shown. Document changes before they become hidden conditions

Use a clear change process. Describe the issue, identify the affected drawings or specifications, obtain the necessary professional review, confirm whether agency action is needed, and distribute the approved direction to the field. Then update the record set. This process may feel deliberate, but it is far less costly than opening finished work to correct an undocumented condition.

Track Inspections, Tests, and Corrective Work

Inspection documentation should be planned, not collected at the end of the project. Some work must be observed or tested at specific stages, and missed timing can create substantial rework. Create an inspection matrix that aligns each required inspection or test with the related scope, responsible party, notice requirements, and documentation to be retained.

Depending on the project, records may include special inspection reports, agency inspection results, material test reports, concrete or steel documentation, fire protection testing, energy compliance verification, equipment certifications, and correction notices. A failed inspection is not necessarily a project failure. It is a condition that must be documented, corrected, and reinspected through the proper process.

Close the loop on every deficiency. Record what was found, who is responsible for correction, the target date, evidence of completion, and confirmation that the item has been accepted. Open correction items should be visible to the owner and project leadership, especially as occupancy or final sign-off approaches.

Prepare Closeout Records Before Construction Ends

Closeout is often delayed because records were not assembled as work progressed. Start building the turnover package early, then update it throughout construction. The final package should reflect the building that was actually delivered, not just the building shown in the original permit drawings.

As-built drawings are a central part of that record. Their level of detail depends on the contract and scope, but they should capture material field changes that affect future maintenance, renovations, safety, and compliance. Collect warranties, operation and maintenance information, final test reports, certifications, inspection documentation, and approved change records in the same process.
